School apparel planning · Bronx, NYC

A field-trip shirt order is different from a general spirit-wear order: one organizer needs to collect sizes, identify the group and get shirts distributed before departure. Kenmar prints custom school apparel at 1415 Blondell Ave in the Bronx. Use this guide to build a clear order brief before asking for a quote.

Start with the trip, not the shirt design

Write down the departure date, the date you will hand out shirts, the number of students and the number of adults. The handout date is the deadline to discuss with the shop. Leave your school time to check quantities and deal with missing sizes. Do not assume an available shirt or a rush production slot until the shop confirms it for your order.

  • One group or several classes? Decide whether everyone needs the same shirt, or whether class colors or printed group names would help your organizers.
  • Students and chaperones: Count adults separately. If adults need a different color or a clearly labeled shirt, put that in the brief rather than treating it as the same item.
  • What needs to be visible? A school name, event name or approved logo can identify the group. A large readable design has different artwork needs from a small chest logo.

Shirt colors and labels can help organizers recognize their group, but they are not a substitute for headcounts, supervision or your school’s trip procedures. Avoid publishing children’s names or personal details on the design unless your school has approved that use.

Collect youth and adult sizes separately

A youth medium and an adult medium are not interchangeable. Use the size chart for the actual garment you select, not an age-based guess or the chart for a different brand. If a family is unsure, ask them to compare the garment measurements with a shirt that fits. Record the size category as well as the size letter.

Size-count worksheet

Students
Record youth or adult, each size and its count, and the approved class color/design.

Chaperones and staff
Record each adult size and its count. Note whether their color/design is the same or a separate version.

Optional extras
Specify youth or adult, each size and its count, and the relevant group color/design. Include only the extras you approve.

Keep students’ personal records in your school’s own system. The shop’s quote brief can use aggregate quantities, such as youth small: 12, rather than a named student roster. If you want extra shirts, choose their sizes deliberately and include them in the total, so they are quoted rather than added by assumption.

Choose the garment and print together

For a shared school design, ask about screen printing. If the artwork has many colors or fine detail, send the original file so the shop can advise on the decoration method. A dark garment, a light garment and a different fabric may need different print preparation. Do not select a shirt solely from a picture and assume the same design or price works on every option.

  • Send the best original artwork you have, along with the exact wording. A small screenshot may not be enough for a clean print.
  • Specify front, back or both, and whether students and adults use identical artwork.
  • Ask the shop to confirm garment availability, size range, print placement and the final quoted cost for the selected combination.

Kenmar is an NYC DOE approved vendor, #KEN018000. Ask your purchasing team what approvals and paperwork your school needs. Vendor status does not replace those approvals or establish that a particular order is covered by school funds.

Before you approve production

  1. Reconcile the size counts against your total, including staff and approved extras.
  2. Check spelling, event date, logo version and the distinction between front and back.
  3. Confirm the specific garment, color, size substitutions if any, full quote and fulfillment plan with the shop.
  4. Get the required handout deadline confirmed. A general turnaround statement is not confirmation for this order.
  5. Follow your school’s approval process before authorizing the order.

Browse and ask
